Cancellation Policy

Please cancel or change your appointment 48-hours ahead of your scheduled appointment time, during normal business hours, Monday through Friday.   


This means to not incur a late fee or missed session charge, a 2PM Monday appointment will need to be cancelled or changed on the preceding Friday before 2PM. 


If a fee does occur, the credit card on file will be charged $85 for a no show and $75 for a late cancel.  These fees are not covered by out-of-pocket reimbursements.  


WHY IT MATTERS

Available slots are limited and not double-booked, so that therapists can provide a high standard of care.  To do this, it also means therapists work reduced case loads, and operate on a fee-for-service basis, rather than salary or hourly pay model.  Therefore any notice above 48-hours is greatly appreciated, as it increases the chances of someone else being seen and allows this time to be better used.

Absences create barriers to treatment & barriers to services for others.


Psychotherapy is an essential behavioral health service.  Yet we cannot treat those we do not see.  All of our therapists also carry full caseloads with running wait lists. 


If this situation arises, it is possible to be taken off the schedule and put back on the waitlist.  However, you will be marked as 'inactive' in the portal, so you will not be able to send messages to your therapist until you are an active client again.

Eastside Insight's phone lines are answered by trained staff and persons with signed  Business Association Agreements; and our TherapyAppointment messages are heavily encrypted.  However, to maximize assurance of privacy, we ask that you do not leave info related to therapeutic content, as messages and phone lines are answered by admin, not your therapist.  If you have information that needs to be shared with your therapist that cannot wait until session, then you can ask to be transferred into the private voicemail box of your therapist, but you will still need to notify the admin staff of your rescheduling needs.

For ease in cancelling or changing your appointment, if you are already an established client, then you may use the encrypted messaging feature in TherapyAppointment (while adhering to the same appointment policy above).  This feature is accessible day or night and allows you to address scheduling issues without having to wait for a call back.

If you do not reach someone, please leave a detailed message and provide the best number to reach you and indicate if it is ok to leave a message--if this additional information is not left, we will assume that it is ok to reach you at the number previously provided and/or on file, and that it is ok to leave a message.  


As the expectation is that appointments are booked weekly and reoccurring, someone will call you back to see if there is another time to reschedule.  If there is not, then you will be seen in your next scheduled reoccurring time slot.

 You must ALWAYS include both your therapist and the office manager in a TA message that pertains to rescheduling, as therapists are often in back-to-back appointments, and may not even see your message until the next day, when that may already be too late to find a new spot or have someone else fill the vacant one.
