WHAT IS THE CLIENT PORTAL?

It is an encrypted, secure HIPAA- & HITECH-compliant behavioral health online platform that allows you to: complete registration (set-up a client profile, etc.), engage in e-signatures for all documentation, access invoicing and bill pay, engage in provider messaging, and even log into telehealth sessions.  


Each registered client of Ei has their own portal access, regardless of being seen in-person or via telehealth.  

CLIENT PORTAL GUIDE

TherapyAppointment 2.0--TA for short--is the Electronic Medical Records (EMR) software that we use to provide the administrative services outlined above.  TA has created a user-friendly quick guide to help orient you to your client portal, complete with play-by-play screenshots; which has been provided via the link below.  Please use this guide in conjunction with the information/instructions found on this page.  That said, if you prefer to just 'wing it,' many clients do just fine with this approach too, as the software is also user-friendly.


This guide will not provide instructions on how to log into your portal for the first time though.  For that, refer to Step 1 in the Registration section on this page.


Finally, please disregard the parts pertaining to self-scheduling in the TA guide, as that is not a function that has been enabled (given that clients are seen in reoccurring time slots).  

Client Portal Guide

Step 1 - Create Username & Password

During our initial consult call you will be asked to provide your legal name (as it appears on your license or passport), date of birth, personal email (not associated with work), and personal phone number.  


This information will allow us to enter you in as a "New Client" into our EMR so that an email from no-reply@therapyappointment.com can be generated with a link, so that you can register by creating a username and password.


This link will expire 48-hours after being sent, and unfortunately we do not get a notice when this happens, but if it does just call us or leave a message and we will send a new one.  One helpful hack is to just go on and create the username and password soon after receiving the link, so that it doesn't expire, and then save the paperwork tasks and setting up your client profile for when you have more time!  


Troubleshooting: Please check your spam folder if you do not see the email generated from TA.  If for some reason you go to create your username and password from a provided link, and you are not successful, or in the event you have not received the email, it could be that we heard or entered your date of birth or email in wrong.  If you feel this is the case, please call or leave us a message, providing us with the correct information so that we can resend the link.


Please DO NOT reach out to TA if you are having problems registering; per TA, they cannot "resend invites, password resets, or anything related to the portal for privacy and policy reasons outside directing clients where to sign in."  

Step 2 - Complete Your Profile

Once you are in your client portal, you will need to set-up your profile.  This is a medical record, so we need to have all of these fields entered please: 


  • Demographic Information: Preferred name, pronouns, address, and upload an image of your license (there is a field to easily do this).  You will also need to enter an emergency contact.  There is also an emergency contact form; however, an emergency contact also needs to be listed in your TA client profile.


  • Payment Information: Please enter your credit card information.  If you plan to use an HSA or FSA card, we will still need you to enter a credit card in addition to this.  
    • Ei is PCI-compliant, meaning we do not store any of credit card information, nor does TA--i.e., we cannot see or access to the card number you enter.  All credit cards are processed through an FDIC-insured payment gateway that is seamlessly integrated into our encrypted behavioral health software--which means additional financial security for you, and why we ask you to enter this yourself, rather than provide it to us over the phone.


  • Self-Pay & Superbills: If you plan to request superbills, you will need to fill in the fields for your insurance information first and then toggle the switch over to self-pay.  If you do not plan on requesting superbills, then you do not need to enter in any insurance information, but will still need to toggle the switch to self-pay. 

Step 3 - Forms

You will also gain access to several forms that await your completion, all of which can be filled out and signed electronically.  We ask that you please have these done 24-hours prior to your first appointment, as having these materials in advance allows us to review the documents and tailor your intake appropriately.  Moreover, we are legally required to have two of these documents-- "Client Informed Consent" and "HIPAA Policy"--signed prior to our conducting the intake.


It is customary to review these forms together at the beginning of your first session, but should you need clarification before then, we will help you navigate this process.  At this point, you now have access to the client portal, so shoot us a message!


And just remember, trying is better than perfect and your best is good enough.  Filling out paperwork is not an indicator of intelligence or a task that determines your value.  If you don't know the answer to something, or can't think of exactly what to say, then move on and focus on what you can fill in.

About Portal Access

You will have access to your portal 24/7 while a registered client who is actively receiving services.  Once your episode of care is over—i.e., you have graduated, or therapy has ended for other reasons—your portal access will be made inactive.   


Switching clients to 'inactive' status once they are no longer under the care of their provider is a standard legal and ethical practice as it helps mitigate the potential risks and liabilities of engaging in a service context when no actual treatment is being provided.  Also, our healthcare software is licensed per a set quantity of patients, and so this helps us accommodate registering new clients. 


However, this does not mean that the content of the work you did with your therapist goes away, should you want to re-engage in services with your provider at a later time and build off of what was done before, as all records are stored and maintained with HIPAA compliance.
